My fiance and I were elated we could afford a wedding at the gorgeous Black Rock resort. As we walked in it felt like an oasis. A dream. We sat and discussed everything with Andrea the events planner. Everything seemed great. We mentioned it would likely be us, her parents and some of my family staying with us at the hotel. Everything was kosher.
We tried for about 3 to 4 weeks after that initial meeting to get a contract. When it finally came through we had only ONE day given to sign it (crazy considering we had been begging for it almost a month) and it included some scary details like an attrition clause and guaranteed need to sell 11 rooms (minimum) for three nights each or we would have to pay a rather hefty penalty (2500...). I called and explained that we couldn't guarantee our friends would be able to stay there for three nights and we were not able to be financially responsible for that if they chose to camp, air bnb or just come up and join us for our special day.
I was told there was no way around that but she'd see what she could do and to give her two days.
It was 3 weeks after that when the events planner decided to contact us again and let us know if we couldn't sell the rooms or pay the $2500 fee we did not have a deal.
They also claimed a staffing shortage meant the only meal option was plated (the most expensive option) which ironically takes the MOST staff.
In between our phone call where I was told Andrea would "see what she can do" and when she actually returned our calls and messages, we booked in at the Tofino Marina and Resort instead. They were an absolute breeze in comparison. No hidden clauses, no need to book rooms. But if we wanted to book rooms at the Marina they offered a discount for our party. Something Black Rock did not offer.
It was refreshing to have things go so smoothly. Especially after our experience with Black Rock.
Expect poor communication, expect to be gauged and treated like a wallet. Expect to need a lawyer to read all of the hidden financial penalties in the contract. First of all I do apologize for the confusion and I am sorry that you feel like you did not receive our best attention.
Maybe if I could clarify a couple of things. I did try my best to accommodate you I placed rooms on hold for you until such time that we could put together the details for your wedding in August knowing that we were about to be sold out. The attrition clause is a standard clause throughout the hotel industry and it is there to protect both parties.
Menus are determined once the contract is signed and are very flexible.
I am happy that you found a place to host your wedding within your budget and wish you both nothing but the best for the future.

Gorgeous Venue, Frustrating Experience
Our reception in the wine cellar at Black Rock was beautiful but we also as most brides have mentioned, had an incredibly difficult time coordinating with the venue to achieve that. We held our ceremony at a local beach so that was separate from our dinner & reception at Black Rock. At the time that our contract was due for signing there was not a single person available in the events department to connect with and provide a deposit to. There was a 20% off giftcard sale in November that we really wanted our guests to take advantage of but we couldn’t do so until we officially locked in the venue. In desperation we contacted guest services and gave them our deposit just to ensure that everything was squared away. After two weeks of waiting for someone (anyone!) at Black Rock to email or call us to acknowledge our wedding and welcome us we heard nothing and had to contact them to beg for some interaction. Finally, we received some feedback and were hopeful that things would improve.
The event coordinator was very kind and friendly. However, we still had major communication issues. Our emails regularly went unanswered for two weeks at a time, at which point we would follow up. It’s not that we expected an immediate response because we understand that everyone is busy but if you’re not going to respond at all for an extended period of time at least send an email acknowledging you are in receipt of the email and that you will reply. We also had a lot of issues with guest services getting reservations incorrect, being unresponsive and placing our guests all over the hotel (not grouped together even though everyone booked under the same name).
Fast forward to the night of the reception. The venue itself was gorgeous and the food was absolutely phenomenal. We really enjoyed the buffet, it was absolutely delicious and the atmosphere in the wine cellar was to die for. We still had a few hitches… we substituted chicken for the fish on the buffet menu and confirmed this change twice with the coordinator. Of course, we got fish instead of chicken the night of which was fine for our guests that love fish because apparently it was amazing but not so great for those that only eat chicken. We thought the venue would offer a discount for the error but nothing was proposed. We also had issues with the number of candles provided but that is a small detail that was resolved quickly.
In summary, we would absolutely recommend Black Rock as a venue purely based on what it is already gifted with – beautiful architecture & a gorgeous natural setting! The staff during our stay were really friendly and lovely. The sign at the café had our names on it with congratulations so that was a really unique touch. Essentially, you just have to understand that many months of frustration leading up to your big day will culminate in a beautiful reception and/or ceremony. Beautiful Venue. Terrible Event Organizers. Incorrect Invoicing (overcharges). Zero Communication.
I will preface this by saying my wedding was incredible, the venue was beautiful, our contractors were hands down amazing (photographer, videographer, decorator) and made the wedding come together exceptionally. The staff working the event the day of (bartender) were great.
That being said, I am severely disappointed in the Management/Organizational staff at the Blackrock Resort itself. From day 1, it was next to impossible to get a hold of anyone. They generally would require 3-4 emails before responding. It was always a different person, sometimes a summer student (who had honestly more information than the paid staff), and responses were often illegible and unprofessional. I didnt know until the day of who would actually be at my wedding as a coordinator. The quote was full of errors (DOUBLE CHECK EVERYTHING). They forgot to process our deposits. After the wedding, we requested a final invoice. Our request when unacknowledged for MONTHS (we followed up in person, on phone, via email). 3.5 months following our wedding, SURPRISE, my mother receives an email that they forgot to invoice us and provided us with an oustanding bill, which was much larger than quoted (not sure why they sent it to my mom. I requested it be sent to myself when I signed my contract). I went through it with a fine tooth comb, and found ~20% overcharge due to taxing errors, numerical errors, duplicate charges for certain items, and charging for people that werent there and children under two. Luckily I had proof of all of this and was able to reduce our invoice back down 20%. I followed up with Ted Bailey, the GM. Never heard a peep from him, which is in line with my expectations for the whole resort. Honestly. This place is GORGEOUS, but if you are looking to have a smaller intimate wedding, there are many gorgeous places in Ukie & Tofino that will offer you 10x the service.
If you do choose to book with Black Rock, ensure you have someone familiar with contracts double check every line of the Quote and every line of each invoice you receive. I want to think my overcharges werent malicious but were instead due to inadequacies of staff, but regardless... double check everything (specifically what should be charged GST/PST vs just GST). Have them provide you with numerical breakdowns (ie 26 x $30/piece) and not just aggregate numbers. That is where all the mistakes happen, and I doubt most people request the more detailed breakdown on final invoicing.

Excellent Vendor
We had some communication issues in the beginning with some staffing changes but in the end we wouldn't have had our wedding anywhere else. It was so convenient having guests be able to stay where we were getting married for ease of meeting up with people and connecting with family. The staff once we were at the resort were professional, helpful and overall amazing in helping us produce a flawless day. However, for those brides that don't have a wedding planner (we didn't) you are required to set up any of your own decor, which is a great trade off considering they do all of the clean up!We had some communication issues in the beginning with some staffing changes but in the end we wouldn't have had our wedding anywhere else. Gorgeous venue, but so many problems
The good: This is an absolutely stunning venue. We had our ceremony in the wine cellar overlooking the ocean and surge channel, and the room is just gorgeous. Our room was beyond fabulous - big enough that we were able to host all our guests for a reception the night before the wedding. Hotel staff was very friendly and responsive. A new Events Coordinator, Aria, came on board literally a couple of days before our wedding. She was amazing and managed to salvage the complete hash that was made by the other coordinators who "worked" with us. Everything that was within her control turned out well. Unfortunately, a lot of things were beyond her control - including months of stress from poor communication leading up to our day, and the quality of the food.
The bad: We had so many difficulties and disappointments with this venue that I can't really give a good recommendation, as it caused us so much stress leading up to our wedding. Communication with the Events Manager, Emilie, was unacceptably poor, usually taking 3-4 email follow-ups to get (usually partial or contradicting) answers to any of our questions. She completely disengaged in the weeks leading up to the wedding and was unhelpful, unprofessional, and downright rude on the day of - giving us and our guests the impression that she couldn't care less. The new coordinator, Aria, took over at the last minute (thankfully!), but she was not provided with our paperwork or file, so had to start from scratch on the planning THE DAY BEFORE OUR WEDDING. Aria's competence is the only reason things came together as well as they did. Things went fairly smoothly up until the reception, when she went home after a nearly 12 hour day. At our reception, we had to chase someone down to bring out our cake after dinner. Staff then refused to cut and serve our ice cream cake (which was in our contract), claiming they didn't know if it was "in the contract". They made excuses and disappeared while our cake sat melting. Eventually our MC stepped up to cut and serve, which should never have happened.
Our biggest disappointment was the food. The quality and presentation was very poor, especially considering the price and the "upscale" nature of the resort. We paid $75 pp for a custom menu of lamb shanks, salmon, sides and salads. Everything was very lack-lustre and luke warm. We were NOT served lamb shanks as had been agreed upon, but overcooked cubes of a cheaper, stringy cut of lamb, which we felt was dishonest at best. The quality of the meal is about what one would expect from a $25 2-star hotel buffet, and we were a bit embarrassed. We had a tonne of other problems and headaches that added up to a lot of frustration - too many to mention here.
We forwarded our concerns and complaints (as well as our compliments to those who deserved it) to the General Manager, Ted, but he has never bothered to respond to us, even given three weeks and a follow up. Unfortunately, upper management at the Black Rock seems to be indifferent at best, and the events department has too many holes for one person to patch, even someone as uniquely talented as Aria (besides which, she'll likely get snapped up by one of the better resorts). The hotel itself is lovely, and I'd certainly recommend staying here for a vacation or honeymoon, but I would NOT recommend booking a wedding or event here, due to the lack of competence, communication, the poor food quality, and complete indifference on the part of management.The good: This is an absolutely stunning venue. Black Rock Wedding
My wedding at Black Rock was amazing, but I had a very hard time coordinating with the venue to achieve that. Everyone was difficult to get a hold of, and ended up charging us extra fees when we got there the day before my wedding. Not impressed and unprofessional. The perfect venue
Black Rock was the perfect venue for our wedding. The rooms had an amazing ocean view. The staff were friendly and helpful. Our event coordinator helped us have the perfect wedding! We planned a somewhat small wedding (32 guests) at Black Rock, and after emailing several resorts and going through a few questions, the response we got from them was so much better than anywhere else we looked. So many places book weddings on the same day, or even back to back, so it’s easy to feel lost in the mix, especially when you’re not bringing 150+ guests. From the very beginning, Black Rock stood out, from the location, accommodations, menu options, room prices, and the attention we received as a smaller group. Emilie was so easy to get ahold of, and was great at asking us questions and helping us organize the day, which was especially important since we were coming from Ontario and had never been to the island before our wedding! The staff were great with our family and friends, and servers were amazing as well. The food was beyond our expectations by far. We planned for four different finger foods for cocktail hour. We got four dozen of each, and the guests swore that the food was unending. YOU HAVE TO ORDER THE COCONUT SHRIMP, everyone was so obsessed with that one. We also got a plated meal with a nice salad, crab and prawn cakes (so good!), and halibut and bison short ribs as the entrée options. The bison were HUGE and amazingly cooked, and a huge hit. Our brunch the next morning was just a good. We did both the dinner and brunch in the wine cellar, which I highly recommend for an intimate and beautiful gathering space. We decided on a destination wedding at Black Rock Oceanfront Resort and were so happy with our choice. There were some of the usual challenges in organizing a destination wedding when we had not visited the resort, could not taste the wines or sample the food, and were not able to tour the different wedding location options within Black Rock Oceanfront Resort. We also planned our wedding during a time when there were three different event organizers, so there were some disconnections, but these were quickly ironed out. In the end, our one challenge was finding babysitters because we had nine families with 18 children in total. We were finally able to do this, but the babysitter list at Black Rock Oceanfront Resort is not long and they are often high schoolers, so trying to get them for a babysitting gig during summer vacation was a difficult task. However, enough dwelling on the very small negatives, because our entire experience was absolutely wonderful.
The resort is fantastic: the views are stunning from every balcony and every restaurant, from sunrise to night time. Facebook was inundated with photos from our guests gushing about how beautiful their views were and how much they wanted to return at some stage in the future. The food was so delicious, especially the canapés for our cocktail receptions, that all of our guests raved about it for days afterwards. The service was excellent. The organizing staff, Jenna in particular, was wonderful and attended to all of our needs and questions very promptly and professionally. I would recommend Black Rock Oceanfront Resort for your wedding in a heartbeat. Black Rock was excellent value for the quality of resort/food. They are wonderful to work with, answered all my questions in a prompt manner and provided useful suggestions for other vendors. On the day of, they were around exactly when we needed them and anticipated our needs. Our only hiccup in working with them was that we booked in 2014 for a wedding in 2015 and the food prices went up substantially in 2015, causing a last minute budget increase. The wine prices went down though.Black Rock was excellent value for the quality of resort/food.
